SFO Resource Tracker Walkthrough

This guide walks you through the Resource Tracker from start to finish: contractors entering weekly numbers, project teams reviewing them on each project, and leadership viewing trends over time. Follow the steps in order, or jump to any section. You must be logged into the SFO sandbox for the buttons to work.

Step 1

Start in the Resource Tracker app

Open the dedicated app that brings together intake, projects, and reporting in one place. If you prefer, you can also find Resource Plan Intake from the App Launcher.

What you should see
  • A navigation bar with Resource Plan Intake, Projects, Dashboards, and Reports.
  • The intake screen as the natural starting point for weekly entry.

Step 2

Enter or review weekly resources (intake page)

This is where contractors (or coordinators acting on their behalf) enter how many people or activities are expected each week. Two demo projects are already set up on separate tabs so you can compare them side by side.

What you should see
  • Two tabs: Safety Phase 2 and Electrical Power Study.
  • A grid of nine activity rows (trips, inspections, tests, and similar) across recent months and weeks.
  • Older months shown for context; only the current month allows edits.
  • Sample numbers already filled in for the last few months on both projects.
Try this
  • Switch between the two project tabs.
  • Change a number in the current month, then click Save Current Month.
  • For Wayfinding Support, use only 1, 2, or 3.

Step 3

Review resources on the project — Safety Phase 2

Internal project staff see the same plan on the project’s Schedule area, along with a list of every weekly entry. This is the management view after intake.

What you should see
  • The project record opens on its main details.
  • Click the Schedule tab.
  • The Resource Plan grid appears below the schedule chart, already tied to this project.
  • A Project Resources list underneath shows each saved week as its own row.
Try this
  • Confirm the numbers match what you saw on the Safety Phase 2 intake tab.
  • Scroll the related list to see month, week, and activity counts.

Step 4

Review resources on the project — Electrical Power Study

Repeat the same review for the second demo project. Each project keeps its own weekly history.

What you should see
  • Same Schedule tab layout: plan grid plus weekly entry list.
  • Different numbers from the Safety Phase 2 project, reflecting that project’s workload.
Try this
  • Compare how the two projects differ in the current month.
  • Optional: save a small change here and confirm it appears on the intake tab for this project.

Step 5

See trends on the dashboard

Leadership and coordinators can view charts that show how each activity changes over time, broken out by project. Each chart focuses on one type of activity so totals are not mixed together.

What you should see
  • A dashboard with multiple line charts (trips, inspections, tests, and the rest).
  • Both demo projects contributing data across recent weeks.
  • Charts that rise or fall as weekly entries were seeded and edited.
Try this
  • Hover over a chart point to see the value for a given week.
  • Look for separate lines or groupings per project name.

Step 6

Drill into a single activity report

Reports mirror the dashboard but allow deeper filtering and export. This example shows ASO Trips over time by project. Eight sibling reports cover the other activities.

What you should see
  • A summary report grouped by project and week start date.
  • A chart of ASO Trips trending over time.
  • Grand totals and subtotals per project.
Try this
  • Run the report if prompted.
  • Open the SFO Resource Tracker report folder to browse the other eight activity reports.
